Responsibility for GDPR compliance and consent lies with the club, and we suggest you capture consent about the minimal amount of personal data stored on the club website as part of your wider process for joining your club. You can add a page within the club section of the website which details your data protection policy.
The personal data stored by a camera club website is:
Member name
Member email address
A member can optionally add information about themselves on their profile page (Distinctions and website link that can be viewed publicly, and some free text fields for Cameras / Lenses and My Interests that can only be viewed by other members).
An administrator will create a new member using the Member’s name and the Member’s email address. The member will be subscribed to transactional emails from the website (they will be emailed when new content such as a bulletin is added to the site). They can opt-out of these emails on their My Account page.
When a member leaves, you will deactivate their account and their public profile will no longer be available on the website. Some historic information will still exist, such as previous competition entries, as these are required for the website’s results archive to function. If required, you can anonymise this data within the website by editing an account and changing the owner to an anonymous name such as ‘Previous Member’.
